Our Process

STEP 1 – New Trip Inquiry Form

Submit a New Trip Inquiry Form by clicking HERE!

STEP 2 – Schedule a Consultation

After your New Trip Inquiry Form is received, we will reach out to schedule a Consultation Call. We can discuss your inquiry form and your dream vacation wants and needs!

STEP 3 – Submit a Planning Fee

When you decide you want The Groft Group to plan your vacation, we will send you an invoice for the appropriate Planning Fee. This is a non-refundable fee that is paid prior to our research and planning for your vacation. Once payment is received, The Groft Group will begin working on your Custom Travel Proposal! Based upon your needs we typically present 2-3 options for your review.

How much is the Planning Fee? 

• Cruises: $30 per cabin
• Single Destination Land, Domestic or International: $30 per room
• Multi-Destination Land, Domestic or International: $30 per room, per destination
• Airfare: Independent air planning fees are $30 for domestic tickets and $60 for international tickets per person. Fee does not apply if booking within a package or with cruise line air programs.
• Weddings & Group Travel are eligible for customized Planning Fees based on complexity of itinerary.

STEP 4 – Custom Proposal

Once Planning Fees are received, The Groft Group will have a Custom Proposal for you in a few days! Custom Proposals can include any cruises, flights, transfers, car rentals, hotel/resort accommodations, and activities or tours that we discussed during our Consultation Call.  Each proposal is unique to you and your vacation needs.  * Please be aware that more complex itineraries may take longer to generate than others.

STEP 5 – Booking Your Trip

You will choose the option(s) that you prefer from the Custom Proposal, then we will collect all needed traveler information, secure any needed vendor deposits for the trip, and get it booked!

STEP 6 – Concierge Service

Once your trip is booked, our concierge service shines!  Here is a list of services The Groft Group provides with your booking:

• A free mobile or web app where you can view your detailed itinerary all in one place, including flight times and updates, any needed confirmation numbers, tour and activity times, city guides, packing suggestions, etc.
• Provide tour and activity suggestions
• Booking and coordinating any chosen tours and activities on your behalf (this includes anything from spa appointments, private dinners, group tours, etc.). *This does not apply to cruises.  All excursions and on-board activity will be scheduled through your personal portal with the cruise line.  We are happy to make suggestions and assist in any way needed.
• Communicating with the vendors, cruise lines and properties that you have selected to ensure your preferences are noted for them. We can also schedule delivery of special needs and accessibility equipment.
• Making any adjustments or changes to your trip as needed.

STEP 7 – Enjoy the trip of a lifetime!

The Groft Group will be available for you during the trip as well.  If there are any complications that arise, we will be your direct contact and communicate with vendors, cruise lines, airlines, etc. on your behalf.  No more waiting on hold for hours, that is our job now! You continue to sit back and enjoy your vacation!
